1.       We process your personal data solely for the purpose of managing your application.

2.       If you are not hired, we will generally delete your application data after six months, unless you have given us your consent to retain your data in our talent pool for up to two years.

3.       Our application portal is operated by a service provider based in Germany.

4.       Your application will only be shared with the UNO MINDA Group company offering the position for which you have applied. It will not be shared with any other group companies.

5.       We use the privacy-friendly web analytics tool Matomo to help us improve our website and understand how visitors use it. Matomo is only activated if you have given your consent, which you may withdraw at any time.

6.       If you have any questions about how we process your personal data, we will be happy to assist you.

We want you to feel comfortable when visiting our website. Protecting your privacy and handling your personal data responsibly are important to us and are an integral part of our business processes.

We process the personal data collected when you visit our website in accordance with the General Data Protection Regulation (GDPR) and all other applicable data protection laws.

 2. Application Process

For the management of applications, we use the services of our partner rexx systems GmbH, Süderstraße 75–79, 20097 Hamburg, Germany. rexx systems GmbH processes your personal data exclusively on behalf of UNO MINDA Europe GmbH as a data processor in accordance with Article 28 GDPR.

We use your personal data solely for the purpose of managing your application.  Depending on the position you apply for, different categories of personal data may be processed during the application process. The legal basis for processing your personal data during the application process is Section 26 German Federal Data Protection Act (BDSG) in conjunction with Article 6(1)(b) GDPR. Where applicable, processing may also be based on Article 6(1)(f) GDPR. Processing based on your consent will only take place if you have expressly provided your consent in accordance with Article 6(1)(a) GDPR.

If no employment relationship is established, your personal data will generally be deleted six months after completion of the application process, unless statutory retention obligations require otherwise. Your personal data will only be retained for a longer period if you have expressly consented to this, for example by joining our talent pool.

Providing your consent for inclusion in our talent pool is entirely voluntary. If you give your consent, we will retain your personal data for up to 24 months so that we may consider you for suitable future employment opportunities. You may withdraw your consent at any time with effect for the future.

 3. Applications via the Career Portal and Contact by E-mail

Our website provides an online application form that enables you to apply directly for advertised vacancies. The personal data you enter into the application form will be transmitted to UNO MINDA Europe GmbH and stored for the purpose of processing your application. At the time your application is submitted, we also record your IP address and the date and time of submission.

Please use this form exclusively for submitting job applications.

Alternatively, you may also submit applications, including unsolicited applications, or contact us via the e-mail address provided on our website. In this case, we will process the personal data contained in your e-mail, including any attached application documents such as your cover letter, CV, certificates and other supporting documents. Your personal data will not be disclosed to third parties outside the application process and will only be used to process your application or respond to your enquiry.

The legal basis for processing personal data submitted via the application form or by e-mail as part of an application is Article 6(1)(b) GDPR in conjunction with Section 26 BDSG. If you contact us by e-mail without reference to a specific application, the legal basis for processing your personal data is Article 6(1)(f) GDPR. Our legitimate interest is the efficient handling of your enquiry.

Your personal data is processed solely for the purpose of managing your application or responding to your enquiry. The additional technical data collected during transmission (such as your IP address and timestamp) is processed to ensure the security of our IT systems and to prevent misuse. Your personal data will be deleted as soon as it is no longer required for the purpose for which it was collected. Application data will generally be deleted after completion of the application process.

If your application is unsuccessful, your personal data will normally be deleted no later than six months after completion of the application process, unless statutory retention obligations apply or you have consented to a longer retention period (for example, inclusion in our talent pool).Personal data submitted by e-mail that is unrelated to an application will be deleted once your enquiry has been fully resolved and there is no further reason to retain the correspondence.

Consent will only take place if you have expressly given it to us (Art. 6 para. 1 sentence 1 lit. a GDPR). If there is no employment relationship, your personal data will generally be deleted six months after completion of the application process, provided that there are no statutory retention obligations to the contrary. Your data will only be stored for a longer period of time if you have expressly given your consent to this (e.g. for inclusion in our talent pool). Consent to be included in the talent pool is obtained separately and is voluntary.

If you give your consent, we will store your data for a period of up to 24 months in order to be able to consider you for suitable future job offers. You can revoke your consent at any time with effect for the future.

4. Disclosure of Personal Data / Recipients

As a general rule, we do not disclose your personal data to third parties unless we are legally required to do so, disclosure is necessary for the purpose of the application process, or you have expressly consented to such disclosure.

Our career portal is centrally managed by UNO MINDA Europe GmbH. Vacancies from several companies within the UNO MINDA Group are published through this portal. These currently include:

·         CREAT GmbH

·         UNO Minda EV Systems Ltd.

The Human Resources Department of UNO MINDA Europe GmbH is responsible for maintaining the career portal and coordinating the recruitment process for the above-mentioned companies. Only the HR department responsible for the relevant vacancy will have access to your application. Your application data will only be shared with the UNO MINDA Group company for which you have applied or to which your unsolicited application is addressed. Your data will not be accessible to any other group companies. Where we engage external service providers—for example, to operate our career portal or provide IT services—they process your personal data exclusively on our behalf under a data processing agreement in accordance with Article 28 GDPR.

These service providers are granted access only to the personal data required to perform their respective services. They are contractually prohibited from using your personal data for their own purposes, including advertising, or from disclosing it to third parties.

Where external service providers process personal data on our behalf, we ensure compliance with applicable data protection laws through appropriate technical and organisational measures and contractual safeguards. Your personal data will never be sold or otherwise disclosed to third parties for commercial purposes. As a rule, your personal data is processed within the European Union (EU) or the European Economic Area (EEA).

In exceptional cases, we may engage service providers located outside the EU or EEA. In such cases, we ensure that an adequate level of data protection is maintained before any personal data is transferred, for example by concluding the European Commission's Standard Contractual Clauses or implementing other appropriate safeguards in accordance with Articles 44 et seq. GDPR.

5. Job Alert

You may subscribe to our Job Alert service via our website. The Job Alert enables us to send you e-mail notifications about current vacancies that match your selected search criteria and, where appropriate, career-related information about our company. Details of the Job Alert content are provided during the registration process.

The legal basis for sending the Job Alert is your consent in accordance with Article 6(1)(a) GDPR in conjunction with Section 7(2)(3) UWG. To subscribe to the Job Alert, we use the double opt-in procedure. This means that after you register, we will send a confirmation e-mail to the address you provided. Your subscription will only become active once you have confirmed your registration.

If confirmation is not received, your personal data will automatically be deleted no later than three days after registration. Only your e-mail address is required to subscribe to the Job Alert. You may also voluntarily provide additional information, such as preferred job categories, locations or career levels, to receive more relevant job notifications.

Once your subscription has been confirmed, we will retain your e-mail address until you withdraw your consent. To document your consent, we also store:

·         the IP address used during registration,

·         the date and time of registration, and

·         the date and time of confirmation.

This information is retained for up to three years after registration in order to demonstrate that valid consent was obtained and to investigate any potential misuse of your personal data. The legal basis for this processing is our legitimate interest pursuant to Article 6(1)(f) GDPR in conjunction with Article 7(1) GDPR.

You may withdraw your consent to receive the Job Alert at any time with effect for the future by using the unsubscribe link included in every Job Alert e-mail or by contacting us at: personal@unominda-europe.com

Your Privacy Rights

6. Your Rights as a Data Subject

Under the GDPR, you have the following rights regarding the processing of your personal data:

·         Right of access (Article 15 GDPR)

·         Right to rectification (Article 16 GDPR)

·         Right to erasure (Article 17 GDPR)

·         Right to restriction of processing (Article 18 GDPR)

·         Right to data portability (Article 20 GDPR)

·         Right to object (Article 21 GDPR)

The rights of access and erasure may be subject to the restrictions set out in Sections 34 and 35 BDSG.

a) Right to Lodge a Complaint

You have the right to lodge a complaint with the competent data protection supervisory authority if you believe that the processing of your personal data by UNO MINDA Europe GmbH or one of its affiliated companies violates applicable data protection law.

b) Requirement to Provide Personal Data

You are not legally or contractually obliged to provide your personal data during the application process. However, certain personal data—such as your contact details, qualifications and other information relevant to your application—is required in order for us to assess your application. Without this information, we will generally be unable to consider your application. Providing any additional information is entirely voluntary and will not affect the application process.

c) Automated Decision-Making

We do not use automated decision-making, including profiling, within the meaning of Article 22 GDPR.

d) Withdrawal of Consent

Where the processing of your personal data is based on your consent, you may withdraw that consent at any time with effect for the future in accordance with Article 7(3) GDPR. The withdrawal of consent does not affect the lawfulness of any processing carried out before your consent was withdrawn.

e) Right to Object to Processing Based on Legitimate Interests

Where we process your personal data on the basis of our legitimate interests pursuant to Article 6(1)(f) GDPR, you have the right to object to such processing at any time on grounds relating to your particular situation in accordance with Article 21(1) GDPR.

If you object, we will review the circumstances of your case and either cease or adjust the processing of your personal data, unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights and freedoms.

f) Right to Object to Direct Marketing

Where your personal data is processed for direct marketing purposes, you have the right to object to such processing at any time in accordance with Article 21(2) GDPR. If you object, your personal data will no longer be processed for direct marketing purposes. Please note that your objection applies only to future processing. Any processing carried out before your objection remains lawful.

Our Privacy Notice - Technical Details

7. Accessing Our Website

When you visit our website solely for informational purposes, i.e. without registering, submitting an application or otherwise providing us with information (for example via a contact form), we automatically collect certain technical information (server log files).

This information includes:

·         the operating system of your device;

·         the browser type, version and language settings;

·         the amount of data transmitted;

·         the IP address of the device used to access our website;

·         the date and time of your visit;

·         the URL of the website from which you accessed our website (referrer URL);

·         the URL of the page you visit on our website; and

·         the internet service provider of the accessing system.

The collection of this data is technically necessary to enable the website to function correctly and to ensure its stability and security. As a rule, neither we nor our hosting provider are able to identify you directly from your IP address. The log file data is not combined with any other personal data. The legal basis for this processing is Article 6(1)(f) GDPR. Our legitimate interest is to ensure the secure operation, functionality and continuous improvement of our website.

The server log files are also used to detect and prevent technical faults and security incidents. They are not used for marketing purposes or to create user profiles. The log files are deleted as soon as they are no longer required for the purposes for which they were collected. This is generally the case after six weeks.

In exceptional cases, log files may be retained for longer where this is necessary for security or legal reasons. In such cases, IP addresses are deleted or anonymised so that they can no longer be attributed to an individual user.

8. Cookies

Our website uses cookies to make the website more user-friendly, secure and efficient. Cookies are small text files that are stored on your device by your web browser. Some of the cookies we use are session cookies. These cookies are automatically deleted when you close your browser. Other cookies remain on your device after your browsing session has ended. These persistent cookies enable us to recognise your browser when you visit our website again. When you first access our website, you will be informed about our use of cookies and, where required by law, asked to provide your consent via our cookie banner. The cookies we use do not themselves store any personal data. Where cookies process personal data, this is done only to the extent necessary for the respective purpose.
